Integrating a Bill of Quantities (BOQ) or bulk loading of resources into project management software like Primavera P6 can be a time-consuming task, especially when you are dealing with extensive data entries. However, the Plannex Excel tool simplifies this process by facilitating the direct upload the recources from Excel into Primavera P6. This tutorial will guide you through the necessary steps to efficiently manage your project’s resources using Plannex.

What You Need

Before you begin, ensure you have:

  • Primavera P6 software installed.
  • The Plannex Excel tool, which is available for free download or as a pro version.

Step 1: Prepare Your Excel BOQ

Ensure your BOQ is ready in Excel with all required details. This includes various project components such as civil, mechanical, and electrical works with respective quantities and rates.

Step 2: Start Resource Creation in Excel

  • Use the Plannex toolbar to start the ‘Create Data Start Resource’ function.
  • The tool allows you to structure your data up to six levels, accommodating different engineering requirements.

Step 3: Filter and Organize Data

  • Apply filters to refine the data, removing any unnecessary entries.
  • Ensure all required rates/Unit of measurement/Resource Type are included and you can keep it black for the default settings.

Step 4: Export to P6 Format

  • Once your data is organized, use the ‘XER Export’ function in Plannex to create an XER file.
  • Save the XER file on your computer.

Step 5: Import the XER File into Primavera P6

  • Open Primavera P6 and navigate to ‘File’ > ‘Import’.
  • Select the XER file you saved earlier and choose to update an existing project or create a new one.

Step 6: Verify and Adjust Resources in P6

  • After importing, verify that all resources are correctly listed under their respective categories like civil, mechanical, and electrical.
  • Check and adjust the rates if necessary to match the project specifications.

Step 8: Assign Resources to Project Activities

  • Assign the imported resources to specific activities within your project schedule.
  • Adjust quantities and schedules based on project progression.
